A customer commission, a retail stock purchase and a production order place different demands on diamond selection. Your enquiry should explain how the stones will be used so the proposed options can be assessed against the right requirements.

For an individual customer, the priority may be a particular shape and appearance within an agreed budget. For production, it may be dimensional consistency across many stones. For repeat purchasing, a clearly recorded specification helps your team explain what the next order needs to match.

Request individual loose diamonds by shape, carat weight, measurements and quality requirements. Include any laboratory-report preference and details that are essential to the customer’s brief.

For a centre stone, actual dimensions can be particularly useful when a setting has already been selected. State whether you need a particular outline or proportion, and whether alternative carat weights would be acceptable if they meet the design requirements.

For earrings, side stones or coordinated jewellery, explain which characteristics need to match. These may include dimensions, outline, colour appearance and the balance between the stones when viewed together.

Request photographs or video of the proposed selection under consistent conditions where available. Grading information helps describe individual diamonds, while reviewing them together helps your business assess whether they suit the intended piece.

For a graduated set, provide the required sequence of sizes instead of asking for every stone to be identical.

Small accent diamonds require a clear size specification. For pavé, halos, bands and similar work, include the required measurements in millimetres and the acceptable dimensional tolerance agreed with your setter or production team.

Also state the required quantity, colour and clarity range, and any screening or documentation requirements. If the order contains several sizes, list them separately so the quotation can show the quantity and specification for each group.

A total carat weight alone may leave the number and size distribution of the stones unclear.

A production parcel should be defined around the work it needs to support. Explain whether it is intended for one design, several designs or replenishment of an existing collection.

For mixed requirements, separate the sizes and grades rather than relying on a single broad description for the entire order. Ask how the proposed goods will be grouped and identified so your workshop can reconcile the delivery with the approved specification.

Where consistency with an earlier order matters, provide its reference and explain which characteristics need to remain within the agreed range.

For diamonds purchased with individual grading reports, specify the laboratory and reporting requirements when requesting availability. The proposed stone list should identify which report belongs to each diamond.

Melee and parcel purchases need a clear discussion about the scope of the documentation. Screening to determine origin serves a different purpose from an individual report describing a diamond’s quality. Ask what was examined, whether the information applies to the whole supplied parcel, who performed the work and how the results are connected to the goods. A general description such as “screened” should be supported by an explanation of what that means for your particular order.

A detailed enquiry helps the supplier identify relevant options and makes competing quotations easier for your team to compare. Include your business purpose as well as the diamond specifications, particularly when the order must fit existing settings or meet a customer’s agreed requirements.

You do not need to make every preference compulsory. Explain where you can consider alternatives and where the specification must be followed exactly.

For example, a production enquiry might request 200 round lab-grown diamonds measuring 1.40–1.50 mm, within an agreed colour and clarity range, for a particular jewellery design. Adding the documentation requirement and workshop delivery date gives the supplier a more complete brief.

For an individual centre stone, your enquiry might instead describe the customer’s preferred shape, minimum dimensions, budget and required laboratory report. These are different buying requirements and should be quoted accordingly.

Check whether the quotation is expressed per stone, per carat or for the complete parcel. The price basis should be clear enough for your team to calculate the order total and compare it with another offer.

Compare equivalent specifications and quantities. Two parcels with the same total weight may contain different numbers of stones, size distributions or quality ranges. Likewise, two individual diamonds of the same carat weight may have different measurements and documented characteristics.

Ask what is included in the quoted amount, including documentation, shipping, insurance and any applicable taxes or destination charges. Confirm the currency, quotation validity and availability of the proposed goods before relying on the figure for a customer order.

For a customer commission, confirm the availability of the selected diamond and any reservation arrangements before making a firm commitment to your customer. If an alternative is proposed, review it against the original brief rather than relying on its headline grades alone.

For repeat production, keep a written specification covering the size groups, quality ranges, appearance requirements and documentation your workshop needs. Refer to that specification when requesting the next quotation.

Separate the required workshop delivery date from the expected dispatch date. Where the order depends on matching, additional documentation or a particular selection, ask how those requirements affect timing.

Before confirming the purchase, agree the final quantities, payment terms, delivery arrangements and any inspection or return conditions. Keeping these details together gives purchasing, accounts and production a shared record of the order.
